Adding Meeting Insights Service

You can add the following type of Meeting Insights service:

Meeting Insights: Adds a global service for use by all tenants on the instance of Live Platform.
Dedicated Meeting Insights: Adds a dedicated service for a specific provider.

Service Provider admins should follow the procedure described here to quickly deploy Meeting Insights customers.

To deploy a Meeting Insights customer:
1. Add the customer (see Adding Customers).
2. Open the Customers page (Topology > Customers).
3. Select the customer, click the Add Service button, and then from the drop-down list, choose Meeting Insights; the Commercial Information dialog box appears. This dialog box only appears if enabled for the tenant (see Enabling Commercial Information for Services).
4. In the Commercial Information dialog box (if enabled to appear), fill in the commercial information fields, select the Click to approve check box to agree to the terms and conditions, and then click Add Service; the Tenant Management portal of Meeting Insights opens, displaying the New Meeting Insights Tenant form:

The icon indicates that once you configure the field, you can't change it for the tenant. If you want to change the field's setting, you'll need to delete the tenant and create a new tenant again.

5. Fill in the form according to the parameters described in the following table:

Parameter

Customer Information

Company Name

Type a unique name for the Microsoft 365 tenant (up to 128 characters).

Domain

Type a unique domain (up to 64 characters), for example, "companyname.com".

Short Company Name

Type a unique short company name.

The name must adhere to the following rules:

Maximum 32 characters
Can contain letters (lower and upper case)
Can contain numbers
Can contain special characters, except the following:
. (full stops / periods)
Spaces
\
/
:
*
?
"
<
>
|
-
Hyphens (-) are allowed, but not at the beginning or at the end and not one after another.

Contact Email Addresses

Type the email addresses of those in the company who can be contacted and will receive the email notifications.

Customer Initial Administrator UPNs

Type the user principal names (UPN). Each comprises the UPN prefix (user account name) and UPN suffix (DNS domain name). The prefix is joined with the suffix using the "@" symbol. For example, "someone@example.com". For the full access default administrator, users are able to access the Meeting Insights application and set it up for the organization.

Click Add after each entry.

Select the type of users purchased by the Customer:

Premium Users

Included Users

Type the number of licensed users to include in the tenant. The Purchase Order (PO) indicates the number.

Allow to Exceed Included Users

Note: Currently, this feature is always disabled and can't be changed (fields grayed out). In other words, the configured number of licensed users (above) cannot be exceeded.

Location

From the drop-down list, select the location of where meeting recordings' media and insights are stored.

Bring Your Own Blob Storage(BYOS)

Enables the BYOS feature, which allows the tenant to use its own Azure Blob storage account (container) for meeting recordings' media and insights.

All languages - allows all languages for speech-to-text.
Manual selection - allows a specific language(s) for speech-to-text. From the drop-down list, select the language(s). The default is English.

Custom Templates

Allows the tenant's admin to enable custom templates for AI-generated summaries for users (per User Profile).

Limited Templates

Allows the tenant's admin to enable templates in the Templates Library for AI-powered summaries that provide limited capabilities (unlike the advanced templates - see below).

Advanced Templates

Allows the tenant's admin to enable templates in the Templates Library for AI-powered summaries that provide advanced capabilities such as requiring user input before the user runs the AI summary.

Mobile App Access & Recording

Allows the tenant's admin to grant access to users (per User Profile) to Meeting Insights standalone mobile app.

Manual Speaker Enrollment

Allows the tenant's admin to enable speaker reassignment (enrollment), allowing users (per User Profile) to reassign speakers.

Microsoft Teams Hosted by Other Organizations

Allows the tenant's admin to enable recording of Microsoft Teams meetings hosted by external (non-tenant) organizations for users (per User Profile).

Content Based Retention

Allows the tenant's admin to define custom (exception) retention policies (periods) for meeting recordings (audio and media), transcriptions, and AI-generated insights, for users (per User Profile).

Automatic Language Detection

Allows the tenant's admin to enable automatic detection of the spoken language, based on a specified list of languages, at the start of a meeting for speech-to-text functionality. This feature helps Meeting Insights more accurately identify the primary spoken language.

Translate Meeting Insights UI

Allows the tenant's admin to enable users to change the language of the Meeting Insights user interface. Currently, the supported languages include the following:

Recap Download as DOCX

Allows the tenant's admin to enable users to download the recap as a Microsoft Word (.docx) file.

Advanced Storage

Geographical Redundancy Storage

Enables geographical redundancy storage (GRS) in a paired region for data disaster recovery, to protect call recording data from disruptions that may occur in one location.

From the drop-down list, select the GRS storage in Gigabytes (GB).

1. Click Deploy; Live Platform starts creating and processing the tenant. The progress is displayed under the Status group.
2. Wait until all statuses are completed successfully and the "Tenant successfully deployed" message is displayed, as shown in the following example:

3. Click Close; an email is sent to the tenant's email address (as provided above), informing that Meeting Insights is ready for use and that certain actions need to be done before Meeting Insights can be used by the customer. For more information, see Email Sent to Onboarded Customer.
